Ways to Manage Time – Learn the Most Effective Timing Techniques



When you have so many tasks to do, you will feel overwhelmed, lost, and it will feel like there’s not enough time for you to complete all your tasks. This feeling is normal, but it can easily be improved by learning the most effective timing techniques! Timing techniques are useful to maximize your results with the least amount of time!


Pomodoro Technique

You might have heard about this technique, but if you have not then you’re all set with the information that will be provided here! This technique focuses on completing tasks in intervals (pomodoro) with short breaks.


Steps to follow this technique:

1) Make a list of all the tasks that you need to complete in the time that you have. 2) Focus on one task for 25 minutes, and mark off one pomodoro after session ends.

3) Enjoy a 5-minute break!

4) After 4 Pomodoros, you can take a longer break (20-30 minutes)

This technique minimizes distractions and allows one to focus on one task at a time. Breaking down complex tasks into simpler ones leaves no space for procrastination!


4D System (Eisenhower Matrix)

This 4D system is a way to overcome procrastination! It does not set specific steps like the Pomodoro Technique, but it helps you to avoid procrastination by thinking about the 4Ds! What are the 4Ds of productivity? This method allows you to prioritize your tasks and get rid of tasks that you might not have to do in the first place.


1) Do: work on tasks that take the minimum time to complete such as answering an email or printing a document.

2) Delay: temporarily delay tasks that do not need to be completed at that moment. This allows to focus on tasks that have an upcoming deadline.

3) Delegate: if it is a task that you ARE NOT responsible for doing in the first place, see if someone else can be given this task!

4) Delete: delete any unnecessary tasks!


1-3-5 Rule

When you have a lot of tasks to do, you might end up not doing all of them, leaving you disappointed. This 1-3-5 rule is an effective rule to complete at least 9 different tasks each day!


1) One large task that requires a good amount of effort.

2) Three medium tasks that require some amount of effort.

3) Five small tasks that can be completed easily.


This method keeps you motivated as the completion of the large task, medium tasks, and small tasks give you a sense of accomplishment! When doing this method, you can keep track of how much time it takes to complete each task. This allows you to categorize your tasks into the three categories!


Which method is the best?

Well, there is no answer to that! There are numerous other timing techniques, but these are just the three of them. However, if you try these three techniques, and they don’t seem to work well, try other techniques such as Dave Lee’s System, Eat that frog, Spotlight Method, etc.
